AQUORIA O.N.E is an invoicing app for sole traders that starts with the booking. The Admin & virtual assistant setup gives you admin help at S$30 an hour, data entry at S$25 an hour and a free 30-minute consultation call. Change the rates and add your own services, such as calendar management or travel planning.
Clients book your hours, not just a time
Hourly services ask the client how many hours they need when they book. A client picks Tuesday at 2 pm, chooses three hours of admin help, and the booking holds 2 pm to 5 pm at S$90. Set your working hours, a gap between bookings and how far ahead people can book. Add days off for public holidays or your own leave.
Regular clients on a weekly slot
Many VA clients want the same slot every week. Book it once and repeat it every week or every 2 weeks, for as many times as you agree: 12 Monday mornings for a founder in Tanjong Pagar, made in one go. If a week is already full, it's skipped and you're told which one.
One bill a month for business clients
Give a company client a business account. Every booking you complete for them that month goes onto one statement, with the opening balance, what was charged, what was paid and the date it's due. Set their payment terms to 14 days, add their billing email, and send the statement from your own email app in one tap.
- A4 invoices numbered with your own prefix
- A PayNow QR for the exact amount on every invoice
- Card payments from the client's link once you open a payment account
- Money owed shows who's late, and by how long
Your client list, kept tidy
Each client has a page with their bookings, jobs, notes and what they owe. Tag them (retainer, ad hoc, agency) and set follow-ups, like 'check in about December hours'. After a job, clients can leave a rating, and those who give 4 or 5 stars are asked to review you on Google too.
Taking on a second VA
When there's more work than hours, Business adds staff logins, so a second assistant takes bookings in their own name. Clients pick who they book with, or choose anyone. Payroll pays them by the month or the hour, with CPF worked out.
How it works
- 1Pick Admin & virtual assistant at sign-up and set your hourly rates
- 2Share your link so clients book the hours they need
- 3Complete the work, then invoice or send one monthly statement

Questions
How do I invoice clients as a sole trader in Singapore?
Show your business name, an invoice number, the date, the client, what you did and the amount. If you're registered for GST, issue a tax invoice with your GST number and the tax charged. AQUORIA O.N.E fills these in from the booking or job, numbers each invoice for you and adds a PayNow QR so clients can pay on the spot.
Can clients book hours with me online?
Yes. Put your link on your website or LinkedIn, and clients book a time and the number of hours they need. Hourly services are priced by the hour, so three hours at S$30 shows as S$90 before they confirm. You can also ask for a deposit on any service to cut down on no-shows.
How does a payment link work?
It's a web page for one job that the client opens to pay. In AQUORIA O.N.E every job has one. The client sees what they're paying for and pays by PayNow, bank transfer or card, once you open a payment account. Card payments are recorded on the job; for PayNow or a transfer, the client taps I've paid and you confirm it.
What is a PayNow QR for business?
A QR code that pays straight into your business bank account through PayNow. Type your UEN or PayNow mobile number once, and AQUORIA O.N.E puts a QR for the exact amount on every invoice and job link. The money goes to your bank directly, and AQUORIA takes nothing from it.
Is there a free invoicing app for sole traders?
AQUORIA O.N.E is free for the first 14 days, with no card needed, then S$29 a month on Essential. That one price covers bookings, jobs, invoices, statements and online payments, with no limit on how many you send. You only move to Business, at S$149 a month, when you add staff.
