HR software in Singapore is often a separate subscription priced per head. Here, HR is part of Business: staff accounts with roles, leave, clock-in, timesheets and staff records, joined up with payroll with CPF. Business includes up to 10 logins for the owner, staff and drivers, and people you only pay don't need a login at all.
Staff accounts with roles and permissions
Every team member gets their own login, so you always know who cancelled an order or gave a discount. Make an invitation link and send it yourself on WhatsApp or any message. It works once, for seven days, and they choose their own password that nobody else ever sees.
Start from a ready-made role, then change any switch:
- Front desk: cancel orders, use promo codes and see customers
- Manager: adds stock, the catalogue, marketing and reports
- Accounts: money, invoices, expenses, statements and reports
- HR: staff records, leave, timesheets and payroll
- Driver: only the driver app and their own stops
Everyone works, only you hold the keys
Everyone on the team can take orders and bookings and clock in. Settings, billing and logins stay with you. When someone forgets their password, make them a new-password link that works once for 24 hours. When someone leaves, switch their login off, or set their last day and it stops by itself.
Leave requests and balances
Staff ask for leave from their phone under My work: the type, the dates, and a half day if they need one. You see it under Leave to approve and approve or reject it in one tap. The app checks there's enough annual leave left this year and that it doesn't overlap leave already booked.
- Leave types: annual, sick, hospital, maternity, paternity, childcare, unpaid and other
- Annual and sick leave days set for each person, with their balance for the year
- Days off in their work week aren't counted as leave
- Approved unpaid leave comes off a monthly salary in payroll automatically
- Who's on leave soon, shown on the HR page
Clock-in from the phone, with a location check
Staff tap Clock in and Clock out on their own phone, choosing the branch they're at. Turn on Check where staff clock in and the phone is asked for its location; the timesheet then flags any clock-in more than 200 m from the shop. Only the distance is kept, never where they were.
Cleaners, installers and anyone else who works at customers' sites can be left out of the check, person by person. If a branch's address doesn't pin it exactly, stand in the shop and set its position from your phone. Where you've set someone's working hours for the day, the timesheet also shows how many minutes late they clocked in.
Timesheets that fill payroll
Timesheets add up each person's hours and days worked for the month from their clock-ins. Every entry is listed with anything that stands out: clocked in 350 m from the shop, location not shared, added by hand, or 15 minutes late. Forgot to clock out after a long Saturday? Add or correct a stretch of work by hand.
In the pay run, Fill hours from clock-ins copies those hours onto the payslips of people paid by the hour or the day, so a part-timer's 86.5 hours become their pay without anyone retyping them.
People records and documents
Each person has one record with their details, pay and leave in the same place:
- Phone number and emergency contact
- Job title, start date, pay and how they're paid
- Work pass type and expiry, flagged on HR when it runs out within 60 days
- Documents such as contracts and work permits, as a photo or PDF
- Their login, and whether it's switched on
HR that fits how your team works
HR here is built for teams that move around, not rows of office desks. A few ways owners set it up:
- A cleaning company marks its crews as working at customers' sites, so their clock-ins aren't checked against the office
- A salon sets each stylist's working hours, so bookings fit their days and the timesheet shows who came in late
- A café pays weekend part-timers by the hour, with hours filled straight from their clock-ins
- A security firm keeps every officer's work pass and expiry on record, flagged 60 days ahead
- A caterer gives the operations manager the HR switch to approve leave and check timesheets, while only the owner can change the manager's own pay
My work: the staff side
Staff linked to a record get a My work page: clock in and out, ask for leave and see how much is left, and open their own payslips. Their home screen shows their appointments and jobs for the day, so the app is something they open every shift, not only on payday.
How it works
- 1Invite your team with a link, and pick a role for each person or tick what they can do.
- 2Add HR details: leave days, work pass and expiry, emergency contact and documents.
- 3Turn on the clock-in location check if you want it, and pin each branch from your phone.
- 4Approve leave as it comes in, and check timesheets at the end of the month.
- 5Fill hours from clock-ins into payroll and finalise the month.

Questions
What is the minimum annual leave in Singapore?
Under the Employment Act, employees who've worked for you for at least three months get 7 days of annual leave in their first year, then one more day for each year of service, up to 14 days. The app shows Singapore's minimum as you set each person's days, and you can always give more. MOM's website has the full rules.
Is there a free leave management system in Singapore?
AQUORIA O.N.E isn't free, but you can try everything, leave included, for 14 days with no card. After that, leave, clock-in, timesheets and staff records come with Business at S$149 a month, together with payroll with CPF and the rest of the app, rather than being priced per employee.
Can staff clock in from their own phone?
Yes. Staff sign in on their own phone and tap Clock in. With the location check on, the phone shares its position at that moment, and the timesheet flags clock-ins more than 200 m from the branch. Only the distance is saved. Staff who work at customers' sites can be left out of the check.
Can I control what each staff member sees?
Yes. Each login has switches for cancelling orders, promo codes, customers, stock, the catalogue, marketing, money and accounts, reports, and HR and payroll. Start from Front desk, Manager, Accounts or HR and adjust. Settings, billing and logins always stay with the owner, and drivers only ever see the driver app.
Does it do staff rostering or shift scheduling?
Not as a roster. You can set each staff member's working hours by weekday in Settings, which their bookings and the late flag on timesheets use, but there's no shift planner for swapping shifts. Clock-ins, timesheets and leave record what actually happened, and feed straight into payroll.
How many staff can I add?
Business includes up to 10 logins for the owner, staff and drivers together, and invitations count until they're used. People you only pay, with no login, don't count. If you need more logins, ask AQUORIA under Help and more can be set up for your account.
