Multi outlet management software for your second and third branch

Opening a second outlet is when the spreadsheets break. Stock sits in the wrong shop, staff work at both, and nobody is sure which branch a customer ordered from. AQUORIA O.N.E is multi outlet management software that keeps every branch in one account: one catalogue, one customer list and one set of books, with stock, staff and orders tagged to the branch they belong to.

On the Business plan · no card needed

More locations come with Business: up to 3, which can be shops open to customers or a workshop or central kitchen that serves none. Vending machines aren't counted as locations. Essential includes one location, so you can start there and move up the day you sign the second lease.

Branches in one account

Add each branch in Settings with a short code, a name, its type, its address and its phone number. A branch is either open to customers, like a shopfront or a mall kiosk, or a workshop with no customers, like a central kitchen or a back-of-house production room. The first shop you opened is your main shop, and it holds any stock that hasn't been moved to another branch.

  • Staff choose the branch on each new order at the counter screen
  • Receipts and invoices print that branch's name, address and phone
  • If you offer pickup and delivery, its time slots and how many each can take are set per branch
  • Couriers pick up from the branch's own address and phone number

Stock per branch, and moves between them

With inventory on Business, every counted item knows how many sit at each branch. The stock page shows what's in stock now at each shop and in total, with stock value at cost.

If staff try to sell more than a branch has, the app tells them to move some across from another shop first, so one outlet can't sell what only the other one holds.

  • Move stock between shops in one step, with a note
  • Count stock branch by branch: type what's on the shelf and only those items change
  • A low level for each branch, so a branch running short shows on Today before it sells out
  • A full stock history with reasons: sales, returns, counts, waste, damage and transfers

Buying stock for each branch

Purchase orders name the branch the supplier should deliver to. When the goods arrive, receive them on the purchase order and the stock lands at that branch. If the supplier sends its delivery order as a PDF, the app can read it and fill in what arrived, for you to check before saving. Received orders you haven't paid for yet wait under Bills to pay, so each branch's buying reaches your books too.

Staff across branches

Staff aren't tied to one shop. When they clock in on their phone, they choose the branch they're at, and with the location check on, the timesheet flags a clock-in more than 200 m from that branch. Pin each branch's position by standing in it with your phone, so the check stays accurate even where the address lookup is a little off.

Roles and permissions belong to the person, so a manager covering both outlets can do the same at each. Leave, timesheets and payroll with CPF stay in one place for the whole team, with hours from every branch on one timesheet and one payslip. Business includes 10 logins across all branches.

One customer list, one set of books

A customer who buys at one outlet and collects at the other is still one customer, with one history, one loyalty balance and one set of reward codes. Staff at either outlet look them up by phone number, see what they ordered last time and use their points. Promo codes, VIP tiers and campaigns work the same at every branch, so a regular from Tampines is just as welcome in Jurong.

Finance, expenses, GST figures and exports cover the whole business, so your accountant gets one set of numbers rather than one file per shop.

Set-ups that fit three locations

  • A bakery with a central kitchen and two counters, moving trays of stock out each morning
  • A laundry with its main shop and a second drop-off point
  • A retail store with a mall outlet and a pop-up at weekend markets
  • A café group with two outlets sharing one menu and one customer list
  • A salon with two branches and stylists who work at both

Opening a second branch: a checklist

  • Add the branch in Settings with its address and phone, so receipts and couriers use the right details
  • Stand in the new shop and pin its position for clock-in checks
  • Move opening stock across from your main shop, or receive a first purchase order there
  • Set a low level for the items that matter most at the new branch
  • If you offer pickup and delivery, add the new branch's time slots
  • Invite the new staff and pick a role for each

When three locations isn't enough

Business includes up to 3 locations. If you're opening a fourth, ask AQUORIA under Help and more can be set up for your account. Vending operators are counted separately: machines aren't locations, and Business includes up to 300 of them. Nothing you already have is switched off if your plan changes later.

How it works

  1. 1Choose Business (or start your free trial on it) and add your branches in Settings.
  2. 2Set each branch's type, address and phone, and pin its position for the clock-in check.
  3. 3Count stock at each branch and set a low level for each one.
  4. 4Take orders at the right branch, move stock across when one runs low, and receive purchase orders where they're needed.

Questions

What is multi outlet management software?

Software that runs several outlets from one account, so stock, staff, orders and customers aren't split across separate systems. In AQUORIA O.N.E each branch has its own stock, address and clock-in position, while the catalogue, customers, loyalty and books are shared across the whole business.

How many branches can I have?

Essential includes one location. Business includes up to 3: shops open to customers, or workshops and central kitchens that serve none. Vending machines aren't counted as locations. If you need more than three, ask AQUORIA under Help and more can be set up for your account.

Can I move stock between branches?

Yes, on Business. Choose the item, the two shops and the quantity, and the move is recorded in the stock history as a transfer. Each branch can have its own low level, so the one running short shows on Today before it sells out.

Can staff work at more than one outlet?

Yes. Logins belong to the business, not to one branch. Staff choose the branch when they clock in, the location check compares their phone with that branch, and their hours from every branch add up on one timesheet and one payslip.

Does each branch need its own account?

No. One AQUORIA O.N.E account covers every branch, with one login per person and one plan price. Branches share the catalogue, the customer list, loyalty programs and the books, while stock, receipts, clock-ins and purchase orders are tagged to the branch they belong to.

How much does multi-location cost?

More locations come with Business at S$149 a month, after a 14-day free trial with no card needed. That includes up to 3 locations, stock per branch, 10 logins, HR and payroll with CPF. Essential, at S$29 a month, is for a single location.

Try it free for 14 days, then S$29 a month (Essential) or S$149 a month (Business). No card needed. More locations come with Business.
