Order management that shows what's due, what's ready and what's unpaid

When orders come from the counter, your shop link, a phone call and a regular customer's message, taking them isn't the hard part. Knowing at 8 am what has to be ready today, what's running late, what's waiting to be collected and who still owes money is. AQUORIA O.N.E keeps every order in one list and moves each one through the same plain stages, so those answers sit on one screen.

On Essential or Business · no card needed

It suits made-to-order work like cakes, catering trays and tailoring, jobs like repairs and alterations, and goods that go out for delivery.

One list for every order

Orders lists every order newest first, with its number, customer, stage, due date, total and balance. Search by order number, customer name or phone number, filter by stage, or pick a due day to see that day's work. Orders taken at the counter and orders placed on your shop link sit together, and Analytics can still split counter sales from app sales.

Open an order and everything is on one page: the items and their notes, the branch it belongs to, payments taken and what's left, its receipt and A4 invoice, and the buttons to move it on.

Orders that start somewhere else

Not every order begins at the counter. A pickup booked on your shop link, for a laundry or a shoe-cleaning service, say, becomes an order with Start order, carrying what the customer said they'd send so you can correct it when you see the items. An appointment with a deposit gets its order as soon as it's booked, and the rest is paid there when the job is done. Car rentals and car sales make their own jobs too, with a note on the order pointing back to the rental or the deal, so nothing is entered twice.

Plain stages, from received to collected

Each order moves through Received, In process, Ready and Collected, or it can be Cancelled. For orders you deliver, the last two read Ready to deliver and Delivered. The buttons say exactly what they do: Start processing, Mark ready, Hand over to customer. An order with money still owed asks you to take payment before it's handed over.

When an order is marked ready, the customer gets a ready-for-collection message in their own language with any balance due, by the message channel you've connected. The receipt reminds them to collect within the number of days you set.

Customers can follow along without messaging you. The QR on their receipt, or Track my order on your shop link, opens their order page with its stage and what's left to pay.

Due dates, notice and express

Every item can carry an order-ahead time, say 7 days for a tiered cake or 3 for a pair of curtains to be altered, and a new order's due date is worked out from its items. You can set a Ready on date and time for a fitting or a party, change the date later, and add an express surcharge you set (for example 50%) when a customer needs it sooner. Customers ordering online can only pick days that fit your notice.

The Today screen

Today is the first screen you see. It shows what was received today, what's ready for collection, what's due today and tomorrow, what's late (past due and not ready), the unpaid balance across open orders, and orders still uncollected after the number of days you choose. Alongside sit today's appointments, deposits still to come, follow-ups due, payments customers say they've made and anything running low.

A new online order makes the open app chime and refresh by itself, and every phone with alerts turned on gets a notification, even when the app is closed. Nothing waits unseen in a chat.

Notes, changes and cancellations

Real orders change after they're taken. AQUORIA O.N.E lets them, while keeping the books straight:

  • A note on each line (colour, size, a message to write) and a note on the whole order
  • Change an open order at the counter: a quantity, a price, a line taken off, an item added or a discount, with totals and tax worked out again
  • Counted stock follows every change, and the total can't drop below what's already been paid
  • Once an order is invoiced or collected it isn't edited: issue a credit note or record a refund instead
  • An order with payments on it is refunded first, then cancelled

Packing, delivery and drivers

The Packing list shows the open orders due today, tomorrow or any day you pick, with the total of each item to pick across them all, so you know you need 36 kaya puffs and 12 gift boxes before you start. Tick orders as you pack them and mark them ready together; marking many at once is on Business.

For orders you deliver, add the address, a delivery fee and a delivery time. On Essential you do your own pickups and deliveries from the driver app, with a photo or signature as proof of delivery. Business adds driver accounts and routes, standing orders for regular customers and delivery orders.

Sending it by courier instead? Connect your own courier account, such as Lalamove or GrabExpress, and you can get the courier's price and book a driver straight from the order. The trip is charged to your courier account, and you can pass it on as your delivery fee.

Are you getting faster or slower?

Analytics shows the share of orders ready on time and your average turnaround over 7, 30 or 90 days, this month or last month, next to revenue, the average order and repeat customers. If alterations that used to take 3 days start taking 5 in the December rush, you'll see it in the numbers before customers start asking where their trousers are.

How it works

  1. 1Take orders at the counter or let customers order on your shop link; both land in Orders.
  2. 2Start each day on the Today screen: due, late, ready and unpaid in one view.
  3. 3Move each order on with Start processing, Mark ready and Hand over to customer, taking any balance on the way.

Questions

What is an order management system?

It's where every order is recorded and followed until it's done: what was ordered, by whom, when it's due, what stage it's at and what's been paid. In AQUORIA O.N.E it covers counter and online orders together, with a Today screen that shows what's due, late, ready or still unpaid.

Can I see which orders are running late?

Yes. Today has a Late list for orders past their due date that aren't ready yet, next to orders due today and tomorrow. You can also filter Orders by any due day. Orders that are ready but still uncollected after the number of days you set show separately, so forgotten collections get noticed.

Do customers get told when their order is ready?

Yes. When you mark an order ready, the customer gets a message in their own language saying it's ready, with any balance due. It goes by the message channel you've connected, such as your own email mailbox or SMS account. They can also scan the QR on their receipt to see their order at any time.

Can I change the order stages?

The stages are fixed, so every order reads the same way to you, your staff and your customers: Received, In process, Ready and Collected, or Ready to deliver and Delivered for deliveries, plus Cancelled. Notes on the order and on each line carry the details that are particular to your work.

Is there an order management app for my phone?

AQUORIA O.N.E runs in your phone's web browser, so the orders list, the Today screen and the counter all work on a phone. Add it to your home screen and turn on alerts, and new orders, bookings and payments reach you as notifications even when the app is closed.

Does order management cost extra?

No. Orders, stages, due dates, the Today screen and the packing list are all on Essential at S$29 a month, after a 14-day free trial with no card needed. Business, at S$149 a month, adds staff and driver accounts, routes, bulk-ready packing, standing orders and delivery orders.

Try it free for 14 days, then S$29 a month (Essential) or S$149 a month (Business). No card needed.
