Facility management software for Singapore building maintenance firms

A building maintenance firm keeps term contracts running for an MCST in Bedok, a light-industrial building in Ubi and a row of shophouses in Tanjong Pagar. Each month brings the contract fee, the preventive visits and a stream of call-outs: a dead corridor light, a leaking pump room, a lift lobby door that won't close. Some jobs need your own technicians, others a licensed subcontractor.

On the Business plan · no card needed

AQUORIA O.N.E is facility management software for Singapore firms that want the work and the money in one place. Facility management & building maintenance is on the Business plan, and starts you with a monthly maintenance contract priced on quote, a preventive maintenance visit at S$180, lighting and fixture repair at S$90, and cleaning and upkeep at S$25 an hour.

Work orders as jobs

Every call-out becomes a job: the fault and the building in the notes, who's doing it, the price and when it's due. Jobs go from New to In progress to Delivered, and Today lists anything past its date. Each client's page keeps every job, invoice and payment, so you can answer 'what did we fix at Block 12 this year?' in seconds.

Preventive maintenance on a schedule

Give your preventive visit a duration so it can be booked, book the first one at the building, and repeat it every week or every 2 weeks for the contract term, with the technician who's going. For work on fixed weekdays, such as pump room checks every Monday and Thursday, a standing order makes each day's job the night before at the client's price.

Term contracts billed monthly

Each MCST or building owner gets a business account with its own prices, payment terms and PO number. The contract fee and the month's extra jobs land on one statement; record their payment and it settles the oldest jobs first. These contract jobs aren't made for you each month; adding them is the first task of the month.

  • Numbered A4 invoices, and tax invoices if you charge GST
  • Credit limits per client
  • Money owed by age: up to 30 days, 31–60 and over 60
  • Bills, bank matching and a year-end pack in Accounts

Subcontractors and parts

Send electrical, plumbing or pest work to subcontractors by private link, with a brief, photos, a due date and the agreed price. Keep their licence or insurance on file with its expiry date: once it runs out, no work can be sent to them. Their price becomes a bill to pay, and the job shows your margin. Count the lamps, fittings and filters you keep, and send purchase orders when they run low.

Technicians, attendance and payroll

Technicians clock in on their phones at the building, marked as working at customers' sites so their position isn't checked against your office. Their hours fill timesheets and payroll, with CPF worked out and payslips they can open themselves. Work permits running out within 60 days show in HR. AQUORIA O.N.E doesn't keep an asset register, meter readings or a resident portal, so use it for the jobs, the people and the billing.

Questions

What is facilities management software?

It organises the work of looking after buildings: maintenance jobs, visits, contractors, parts and billing. AQUORIA O.N.E covers jobs with due dates and owners, repeating visits, subcontractors with licence expiry dates, stock and purchase orders, monthly statements, and HR and payroll with CPF. It doesn't hold asset registers or meter readings.

Can I use it as work order software for maintenance?

Yes. Each work order is a job with the fault in the notes, the person doing it, the price and the due date. Late jobs show on Today, and the client's page lists every job done for them. Parts used go on the job as lines, and subcontracted work shows its cost and your margin.

How do I manage subcontractors on a term contract?

Add each subcontractor with their trade, usual rate and licence or insurance expiry. Send them part of a job by private link: they accept it, do it and mark it done with photos and their invoice. They never see your client's details or your price. Their invoice goes straight into Bills to pay.

Can I set up preventive maintenance visits?

Yes. Give the visit a duration so it can be booked, then book the first one and repeat it every week or every 2 weeks for as many visits as the contract runs, each with a named technician. For visits on fixed weekdays, use a standing order instead. Monthly or quarterly visits are booked one at a time, which takes a minute each.

Why is facility management on Business only?

Building maintenance runs with a team, so it needs staff logins, HR, payroll, subcontractors and stock, which come with Business. It's S$149 a month after a 14-day free trial with no card, with up to 3 locations and 10 logins. Have your UEN ready to start the trial.

Try it free for 14 days, then S$149 a month (Business). No card needed.
