Car repair workshop software: job cards, history and reminders

A workshop in Sin Ming or Kaki Bukit runs on job cards, and car repair workshop software has to run on them too. A Toyota Corolla Altis in for its 60,000 km service, a Mazda 3 with a warning light, a van that needs brakes before Monday. Each job needs the plate, the mileage, the parts and labour, the customer's OK before the work starts, and a reminder months later for the next service.

On the Business plan · no card needed

AQUORIA O.N.E runs those job cards inside an all-in-one business app. Car workshops use the Business plan, so mechanics' logins, parts stock, suppliers and payroll with CPF are part of it from the first day.

Job cards that start from the car

Every customer car is kept by its plate, with its make, model, mileage and owner. Customers book a basic servicing at S$120 or a diagnosis at S$50 on your link; walk-ins get a job card from the car's page with today's mileage. Add parts and labour as lines, such as 4 litres of engine oil at S$60, an oil filter at S$15 and an hour of labour at S$60, and mark the car as in the workshop.

  • Servicing and diagnosis booked online
  • Repairs that take days, with the date the car will be ready
  • Mechanics see the jobs they're doing on their own phones
  • A gap after each booking, so the bay is free

The customer's OK, then the history

Send the job's total to the customer's link and they approve it or decline it from their phone; if they agree by phone, tick that they approved. The job shows whether it's waiting, approved or declined. When it's done, the visit joins the car's service history by plate, newest first, with the date, mileage, work and total. Set the next service by date or mileage, and the customer gets a reminder a week before the date by the SMS or email account you connect.

Parts, suppliers, staff and the books

Count your parts per workshop, see what they're worth and do stock counts. Send purchase orders to your suppliers; marking goods received adds them to stock and puts the supplier's bill in Accounts. Mechanics clock in and out, take leave and are paid through payroll with CPF worked out. Invoices show the car and the mileage it came in at, and bank matching ties money in to the right job.

  • Stock per workshop, counts and value
  • Suppliers and purchase orders
  • Leave, clock-in and payroll with CPF
  • Up to 3 workshops, with reports for each

How it works

  1. 1Add your services, labour rate and parts, and your mechanics.
  2. 2Book or open a job card on the customer's car with today's mileage.
  3. 3Get the price approved, do the work, invoice it and set the next service.

Questions

Is there free car workshop software?

AQUORIA O.N.E isn't free, but the 14-day trial needs no card. Car workshops use the Business plan at S$149 a month, which includes job cards, service history, parts stock, suppliers, up to ten logins and payroll with CPF. Jobs aren't limited and the app never takes a cut.

What is a job card in a car workshop?

It's the record of one visit: the car, its mileage, the work asked for, the parts and labour used and what the customer agreed to pay. In AQUORIA O.N.E a job card starts from the car's page and holds all of that, then becomes the invoice and joins the car's service history.

Is there invoice software for auto repair shops?

Yes. In AQUORIA O.N.E each job card becomes an A4 invoice with its own number, your UEN and GST number if you're registered, the car and the mileage it came in at, and every part and labour line. In Singapore it can show a PayNow QR for the balance, and invoices export to a spreadsheet for your accountant.

Does it suit car service workshops in Singapore?

It's built with Singapore in mind: S$ and GST, PayNow, plates kept without spaces so 'SKD 1234 A' and 'SKD1234A' match, and payroll with CPF. Customers get a reminder before their next service by the SMS or email you connect. It also works for workshops in other countries as they open.

Does car garage software handle parts stock?

On Business, which car workshops use, yes. Engine oil, filters, brake pads and bulbs are counted per workshop, sold off as they go onto job cards, and flagged when they run low. Turn the low ones into a purchase order for your supplier, and marking the goods received adds them back and records the bill.

Put every job card in one place. Try it free for 14 days, then S$149 a month (Business). No card needed.
